Public Policy Coordinator

Washington DC


The Public Policy Coordinator will be responsible for handling all administrative and operations tasks allowing the Public Policy office to run smoothly. The Coordinator will assist the federal and state teams with bill tracking, policy research, preparing related documents and grassroots communications and will serve as executive assistant to the Senior Vice President, Public Policy.

Responsibilities

·        Assist with monitoring legislation, policy research, and preparation/maintenance of related reports, newsletters, briefs, & fact sheets

o  Track hearings, town halls, roundtables, briefings on the Hill - involves monitoring several databases at once, keeping lists of upcoming events, and notifying team members when appropriate

o  Coordinate content submissions for monthly chapter eUpdate and bi-monthly Field Advocate newsletter and create drafts for team review

o  Assist in creating, reviewing and editing public-facing documents and e-communications

o  Complete data entry tasks daily

·        Coordinate all administrative activities relating to AFSP’s Public Policy Internship Program, Policy Webinar Series, & participation in the Mental Health Liaison Group

o  Compile and review internship applications on a rolling basis, schedule interviews and handle all logistics for interns’ first day

·        Assist with meeting and event preparation and execution which will to include staffing planning calls, creating and maintaining related forms and lists and assisting with mass communications via AFSP’s online grassroots platform(s)

o  Create, track and update registration and appointment scheduling forms and lists for 51 State Capitol Days, Advocacy Forum and 10-20 federal briefings/year

o  Input all event data into applicable databases (Congress Plus, FiscalNote, new events management platform)

o  Take and share minutes for all event planning calls/meetings and quarterly Public Policy Council (PPC) meetings

·        Maintain Advocacy & Public Policy portions of the website

o  Refresh content regularly on the portions of the AFSP website associated with Public Policy

o  Coordinate social media content with AFSP-NY office

·        Manage the front desk/office support functions, to include IT support, supply orders and billing invoice payments, correspondence with building management, and executive expense reporting

o  Provide administrative support directly to the Senior Vice President of Public Policy to include maintaining calendar, making travel arrangements and submitting monthly expenses

o  Manage all IT functions for the office to include network, phones, computers and other office equipment

o  Order all office supplies and keep track of what is needed

o  Print and order AFSP materials (e.g., maintain in-house supply of brochures, flyers, and fact sheets and coordinate all orders through Kotis) as needed

o  Work closely with the accounting team to have invoices reconciled

·        Additional tasks and projects as assigned by senior leadership staff in the Washington D.C. office

Experience & Qualifications

·        Must have a minimum of an Associate’s Degree

·        2-3 years’ administrative experience, preferably with a non-profit

·        Familiarity with mental health and/or public policy a plus

·        Proficiency with Microsoft Office Suite and Google Drive required

·        Experience with Survey Monkey or Wufoo, Wordpress and grassroots engagement software (Soft Edge, CQ Roll Call, FiscalNote, etc.) a plus

·        Must possess a collaborative work ethic and have the ability to work under pressure

·        Must have strong verbal and written communications skills

·        Must be able to lift 25lbs or less occasionally
